 Conference Room Schedule

To use the large conference room, your organization must abide by the following rules:

  •   Groups using the meeting rooms are to be community organizations and/or non-profit groups that are not charging a fee greater than program costs.
  • Sign up and registration for use: Upper Meeting Room - Conservation District; Lower Meeting Room - PSU Extension.
  • The Conservation District, PSU Extension, and Head Start have meeting room priority.  If your organization has a meeting already scheduled and there is a conflict for that date, your organization will be notified and your meeting shall be rescheduled.  The Conservation District, PSU Extension, and Head Start will be mindlful not to have meeting date conflicts but they will have priority for usage.
  • Organizations holding monthly meetings can schedule only three months in advance.
  • Meetings held during the regular business day should limit noise level since offices are located adjacent to and below the meeting room.
  • After hours usage (4 PM -?) is limited to the upper meeting room only unless meeting is a PSU Extension Program.
  • Keys for after hour usage of the meeting room must be obtained from the Conservation District or PSU Extension during regular business hours of 8:30 AM - 4:00 PM.  Keys must be returned to the respective office the next day.  It is the responsibility of the organization to pick up and return keys.  Signature is required when keys are picked up.
  • Groups using the facility are to clean after meetings and make arrangements for refuse removal with PSU Extension or the Conservation District.  If full bag of refuse is generated a donation of $2.00 per full bag is appreciated to cover cost of disposal.  A donation box for this purpose is located in the meeting room.
  • Meeting room floor is to be dry mopped and/or swept if needed.
  • Chairs and tables should be moved with cares so as to not damage floors and returned to carts for storage.
  • Heating is not to be adjusted in the meeting room.
  • Meetings needing additional services such as copies, etc. need to be addressed with the PSU Extension in advance.  A fee may be charged.  (WE DO NOT WISH to compete with outside vendors, but can provide emergency or additional copies on a limited basis).
  • Equipment needs for meeting room are to be provided by organization or group using the facility.  Groups needing special equipment or needs should contact the Conservation District or PSU Extension prior to the meeting date. ( A fee may be charged for use of equipment, maintenance, or special needs).
  • Lights and doors shall be checked before leaving. (See checklist where switch and controls are located).  A FEE WILL BE CHARGED IF LIGHTS AND/OR EQUIPMENT IS LEFT ON.
  • Parking - Parallel parking in lower lot required for general meetings.
  • Parking in grass area in front of building is strongly discouraged - unless parking in upper/lower lots is full.
  • User agreement must be physically completed.  Future usage by organization is contigent on meeting all the listed requirements.
  • Scheduled meetings being cancelled need to notify the Conservation District at 928-7057 or PSU Extension at 928-8941.
